Multifunctional HR web portal for UK SBS

JFDI developers have built UK SBS, an HR Portal based on SharePoint Online. The new solution empowers end-users to be self-sufficient with their HR, Payroll, Finance and Procurement needs. OKTA sign-in mechanisms recognise a user’s organisation to tailor the available information. Using JFDI’s custom web parts to fine-tune SharePoint’s interfacing, finding HR-related content was more straightforward, making the entire platform accessible to meet the strict standards of the public sector. Navigation and content hierarchy was designed in a user-focused way. In addition, JFDI’s advanced search functionality was also integrated to improve the user experience further. A revised news section that has a clear, attractive layout and includes not only written but also visual content. The HR portal and its content are managed in-house by UK SBS. The solution has been made ready to be fully integrated with MS Teams, potentially improving the UK SBS staff’s collaboration experience. All data within the portal is GDPR compliant and can be adhered to using pre-defined policies under the control of UK SBS SharePoint administrators.

Their HR Portal contains a vast library of documents and forms available to users. To make navigation easier, JFDI have provided several ways to browse the underlying content.

One way is to use JFDI’s innovative search facility. A dynamic search field is constantly suggesting the most appropriate content based on a phrase the user inputs.

Additionally, every file in its document library has full descriptions and the smart search mechanism leverages the applied metadata to make searching as relevant as possible.

E-Learning Suite

JFDI developers implemented an e-learning suite into the solution. Users do not have to look for learning materials outside of the portal. Instead, they can enjoy step-by-step user guides, comprehensive videos, and complete, professionally prepared e-learning modules curated by UK SBS.

Secure Sign-In

To make the portal secure and most appropriate to use, a security solution is implemented to deliver a single sign-on experience for every external user. The portal then recognises a user’s organisation and tailors the available information and content after login.

Gamification+ wanted to have more control over their sales process without dealing with unnecessarily complicated software. Additionally, providing services globally they use many unknown access points, so they had to ensure data safety. Finally, many projects require attention of more than one person, so collaboration capability would be nice to have.

MODERNISATION OF SHAREPOINT ONLINE TO IMPROVE ENGAGEMENT AND ATTRACTIVENESS

Caburn Hope was not happy with their SharePoint Online instance look and feel. They observed every employee used the platform only when they had to and were not impressed with how it worked. JFDI was engaged to initially consult on how their previous supplier positioned the portal and then redesign, modernising it to reach its full potential.

Consultancy and communications planning portal

After the initial investigation, JFDI immediately recognised the incorrect templates used for their root site collection. Replacing these with the Communications Site template from Microsoft provided a far more relevant landing page for Caburn Hope, thus falling into line with Microsoft’s latest design philosophy. In addition, custom-developed legacy applications were found to be residing in the tenancy. These were provided by a previous incumbent but no longer required due to the changes JFDI implemented. Decommissioning them improved loading times and resulted in significant SharePoint resource savings. Additionally, JFDI implemented carefully chosen SharePoint Web parts, improving the engagement rate and navigation across the Caburn Hope SharePoint portal.

Convenient Navigation

Simplified menus to make reaching crucial departments intuitive, providing direct access to a user’s most recent documents and Yammer feed, then removed all unnecessary elements improving the overall experience.

Once the functionality was re-aligned, JFDI focused on making the portal familiar by bringing the company brand, any reference media and, of course, their logo.

A review was conducted on how Caburn Hope stored client and user data will scale for the next 3+ years, ensuring enough capacity to cope with demand and ensuring sufficient indexing measures were in place to retrieve such amounts of data in a performant manner. Lastly, JFDI explored ways to archive data through data retention policies and alike.

The correct solution for the job

JFDI has a wide range of SharePoint Online Web parts available to our clients. Although this time, no bespoke work was necessary for Caburn Hope. We focused on restructuring the portal and choosing the most appropriate SharePoint  navigational features such as a Big Menu and graphical tiles utilising Caburn Hope’s familiar home-made graphics.

Pixel perfect

To ensure that the portal will be instantaneously recognisable, JFDI redesigned every element using the company colour palette, including all functional aspects of the theme. Initial feedback indicated their user experience was also subtly improved via the delicate pink as a background, resulting in lessening the load on user eye strain.

Case Study: Application Issue Tracker

CVC Capital Partners is one of the world’s leading private equity and investment advisory firms. Founded in 1981, the CVC Group today employs over 400 people in 21 countries throughout Europe, Asia and the US.

CVC Capital Partners needed a robust and dependable solution to track any issue with one of their apps. The solution must not compromise the safety of data, empower developers through collaboration and avoid distracting the development team at all cost.

JFDI’s Aardvark to the rescue

JFDI addressed this need with Aardvark for Microsoft Teams. It is our highly customisable business process management proven to be successful in various scenarios. A discovery session allowed us to precisely map and translate the problem-solving process into a familiar Kanban board.

Issue Tracker

Every ticket gets a unique number for tracking. The record contains information like an issue description etc. When the record reaches the last swim lane and the problem is solved, information about it is logged and the ticket gets archived.

To encourage collaboration, we leverage the functionalities of Microsoft Teams. Team members can spawn channels to store related files and work collaboratively on a given issue without leaving the platform. Additional files or information can be emailed directly to the channel.

Secure

One of the main concerns of CVC, as a financial institution is data safety. Aardvark for Microsoft Teams only stores its data in the target Microsoft 365 subscription hosted by SharePoint. SharePoint Online Compliance Score supports more than 10 global, regional, and industrial assessments, including #GDPR, CCPA, ISO 27701, ISO 27001, HIPAA, FFIEC, and more.

Collaboration and Cross referencing

With the documents all stored within a dedicated channel, colleagues can discuss changes via channel chat or calls, whilst working on the documents. What’s even more clever is cross-referencing the changes between the files and the notes in the code thanks to the issue identification numbers.

 

Customisable

CVC were able to customise the data format by adding columns in Aardvark’s SharePoint List. The user interface automatically adapts to support your custom fields. You can use your data anywhere in Microsoft 365, including the Power Platform and Power BI. Matching the customer colours and branding elements was just a breeze.

Case Study: Mobile Inspection Forms

A SharePoint targeted solution for reviewing all site-related inspection forms

To ensure the safety of the workforce and a quality standard of work, Countryside Properties conducts regular inspections on every one of its many construction sites. This auditing measure contains crucial information which must then be translated into a digital format and stored appropriately. JFDI were engaged to create a viable solution to enable a more streamlined approach to conduct those legally required audits.

Mobile Application Forms Submitter

JFDI needed to support Countryside Properties in making the life of their construction sites inspectors easier. JFDI were able to completely reinvent and optimise the way those inspectors now work. Instead of scanned paper documentation described with metadata and uploaded into the correct repository, JFDI implemented a full digital transformation.

Automatic Tagging and Filing

JFDIs’ solution empowers their team of inspectors to conduct full inspection reports directly on mobile devices.

Fully formed, including supplementary photos or files, enabling them to complete the entire process onsite.

When the inspector submits the form, the system adds necessary metadata and stores into a predefined structure in SharePoint.

Eradicating Human Error

Thanks to JFDIs’ solution, inspectors saved significant amount of time.

It was observed that the introduction of human error throughout the form submission process was alleviated. In addition, by going digital any environmental impacts were lessened.

Metadata On-route

All documentation was to be searchable and identifiable within the target document library. To reduce the amount of work needed to describe files, JFDI created a precise taxonomy and automated the description process. When the construction site inspection report is uploaded into SharePoint, the system adds metadata and stores the information most appropriately and automatically.

Mobile-first

Paper files can get damaged easily and their transcription to digital is burdened with the scanning and describing of process. JFDI enabled Countryside Properties personnel to conduct inspections using their mobile devices automatically uploaded with metadata applied ready for SharePoint.

A Technical Due Diligence Case Study

A Prominent Financial Services Company

Our client is a medium sized corporate in the financial services industry. A  Big Four consultancy had conducted a development project that had gone off the rails. JFDI was called in to provide independent expert evaluation of just how bad the damage was, and what it would take to put it right.

Technical Due Diligence Consultancy for a prominent financial services company

Our client had adopted a new low-code technology on advisement from a Big Four consultancy, and had their developers create a small, simple pilot system intended to be the first of many in order to clear a backlog of unfulfilled requirements in IT systems. The project started, a team of business analysts worked on collecting user requirements, then the developers started work and users began to use the system as it was developed. After nearly £3M expenditure it was clear the unfinished system had severe flaws and that the project was running out of control. A growing catalogue of user bug reports hinted that there might be a number of serious structural issues. JFDI was called in to review the project and evaluate had gone wrong.

 JFDI’s Approach

JFDI’s consultants obtained a copy of the entire code base, frozen at the point of the developers’ exit. We collated an extensive table of complexity metrics for each code module, to prioritise those modules requiring closer examination. We looked at user bug reports that could indicate performance bottlenecks or structural problems.

The Findings

1. Business Analysis & Documentation

We requested the outputs from the lengthy and manpower-hungry BA stage. The consultancy was not forthcoming with any documentation. No BA, no requirements, no system design, no wireframes.

2. Code Quality

In a “low-code” development project consisting of several hundred thousand lines of code, we found many examples of divergence from vendor-published best practice, a lack of functional decomposition, and even hard-coding of special-case scenarios depending on specific database record IDs.  There were hardly any code comments explaining why a particular methodology had been used.

3. Performance

The database was found to have no indices. Queries/stored procedures/views were plentiful but often unused. In many cases, processes would perform multiple whole-table scans, returning large data sets to the code where iterative processing would be performed on the data. We therefore discovered that through better database design and improved algorithms, performance could be greatly improved.

4. Security

Although ostensibly the developers had followed vendor-established best practice in authentication and authorisation, one of the algorithms adopted in their code had opened up vulnerabilities to attacks such as code injection.

 

Project Outputs

The project ran for four weeks and involved four consultants. JFDI presented the findings of the TDD study to the client in September 2020. Remedial work commenced on the project prioritised by user bug reports and guided by JFDI’s recommendations. Code quality is gradually being improved and many of the structural issues with the system have already been addressed.

A SharePoint Online Developer / SharePoint Consultant (modern SharePoint only) is required to join a leading Microsoft Partner who has been awarded the prestigious Gold Partner status. Expect to have a real input in solving business efficiency problems for a variety of high profile clients. Work from home with the best tools & hardware. This role is open UK-wide.

Combining both client-facing consultancy with hands-on technical delivery, the SharePoint Online Developer / SharePoint Consultant will ensure SharePoint solutions are appropriately scoped and effectively delivered. Combining business insight with the latest technologies and software development techniques your input will help solve real-world business problems with outstanding results.

The ideal candidate will be a qualified SharePoint Online Developer / SharePoint Consultant or similar with a CV that demonstrates:

  • Proven Agile commercial development experience in a modern SharePoint environment
  • Excellent problem-solving skills and the ability to think creatively
  • A hunger for new skills
  • Self-motivation and the drive to achieve professional success in a consulting environment
  • The ability to manage workload and time according to deadlines set
  • A background in SharePoint Development is strongly preferred

When microwave ovens first appeared, the hype was palpable. Cook anything quicker! People tried heating or cooking eggs, bread, pastries, crabs, and even drying their wet dogs. Soon reality set in. Chewy pastries, inedible eggs, exploded crabs, dead family pets. It was just new technology, not an answer to all your lifestyle woes. “Microwave meals” came and went.

Robotic Process Automation is the new microwave. A technology looking for applications. You might have heard on the golf course that it’s what you need for all your #automation, but it’s not. It’s a massive box of sticking plasters. Effective automation requires a huge toolkit. But your focus should be on processes, not tools.

Don’t plan an RPA project, plan an automation project.

Always start with the business process. Define the process, its inputs, outputs, and subprocesses. Work out where the people fit in, and what they do within the process. Then work out an automation architecture based upon best-fit technologies.

Anything else is a focus on tools, not the process. And that’s bad for business.

Collaboration systems are one of those automations that has humans at its heart, and they’re the most important part. So throughout our Covid19 lockdown we’ve made sure that first thing every morning we get together for a daily stand-up or “team huddle”.

This is how to help people work effectively from home, regardless of the tools you select to help & facilitate. Be human, be kind, and support each other. Be open, be honest.
