When microwave ovens first appeared, the hype was palpable. Cook anything quicker! People tried heating or cooking eggs, bread, pastries, crabs, and even drying their wet dogs. Soon reality set in. Chewy pastries, inedible eggs, exploded crabs, dead family pets. It was just new technology, not an answer to all your lifestyle woes. “Microwave meals” came and went.

Microwave Ovens - like RPA, when misused they're disastrous!
Microwave Ovens – like RPA, when misused they’re disastrous!

Robotic Process Automation is the new microwave. A technology looking for applications. You might have heard on the golf course that it’s what you need for all your #automation, but it’s not. It’s a massive box of sticking plasters. Effective automation requires a huge toolkit. But your focus should be on processes, not tools.

Don’t plan an RPA project, plan an automation project.

Always start with the business process. Define the process, its inputs, outputs, and subprocesses. Work out where the people fit in, and what they do within the process. Then work out an automation architecture based upon best-fit technologies.

Anything else is a focus on tools, not the process. And that’s bad for business.

JFDI’s Champions of Automation initiative is for senior & C-level managers wanting to understand best practice in Business Process Automation & Digital Transformation. Sign up for an introductory Roundtable Meeting and get your journey on the right track.

Here’s a video in which I explain How to Automate a Process properly:

Team Huddle
Team Huddle. Smiles and laughter.

We’re often asked about technology to help people work effectively from home. We use Microsoft Teams, of course, but that’s only a tool. And tools do not a solution make! Collaboration systems are one of those automations that has humans at its heart, and they’re the most important part. So throughout our Covid19 lockdown we’ve made sure that first thing every morning we get together for a daily stand-up or “team huddle”.

This is how to help people work effectively from home, regardless of the tools you select to help & facilitate. Be human, be kind, and support each other. Be open, be honest.

The RPA fans will probably disagree. RPA (Robotic Process Automation) has been hyped as a panacea for all business automation requirements. But it’s just a tool. It’s as much of a solution as a hammer is a solution for your new roofing requirements. Get excited about tools if you like, but focus on the problem and its solution. There is no single tool or technology that’ll automate all your business processes.

RPA or manual? These are not your only choices, no matter what the hype says
RPA or manual? These are not your only choices, no matter what the hype says.

In the real world, RPA is great for automating tasks on legacy systems that don’t have a nice set of interfaces (APIs) behind the scenes for programmers to use. All you have left is the UI (user interface) that your users use day-to-day. And the only option to automate all that is something to sit there and do exactly what the users do with their keyboard and mouse. That’s the majority of what RPA does. It’s a bridge technology at best, and extremely kludgey at worst.

To create an efficient business process automation solution that closely fits the process it’s automating, you’ll need a diversity of tools and building blocks. And you’ll need to properly understand the problem you’re trying to solve (which is usual in itself).

Jump in and throw a technology at the problem at your peril, even if it’s the flavour of the moment with the folks on the golf course.

JFDI is technology agnostic. We don’t get hung up on tools or technologies. RPA is just one of the many tools, chosen for their appropriateness to solve specific challenges, that we use to create effective business process automation systems.

Back in February, I was invited to speak on AI & Automation at the Silicon Brighton event covering just this subject. My session was committed to video, accessible elsewhere on this site.

Then I was asked to repeat the talk for the Silicon Brighton NHS Fundraiser event held live and online on 7th May 2020. So I decided to upgrade the narrative and expand on some of the points I felt I’d not explained sufficiently the first time around. It was well-received on the day, generating a lot of conversation around automation. One viewer, Óskar Holm, said “very impressive @Jon Silver, look forward to having this video posted, because I need to send it to some people I know.”

So here in all its 47-minute glory is that presentation. It serves as an introduction to all the available automation technologies, how they all fit together, what’s possible and practical with real-world examples and even costings, and an exploration of all the risks and rewards. It’s targeted at a non-technical, business-focused audience, but techies could benefit from watching it too. Enjoy! And let us know what you think!

Silicon Brighton is running its biggest ever event on 7th May 2020, and all online. This time, 30 speakers will present on a diverse range of topics relating to business and leadership. And two of JFDI’s people are among the presenters.

Jon Silver, R&D Director

Jon Silver, our R&D Director, will be repeating and expanding upon his Real-World AI & Automation for Business session he originally delivered for Silicon Brighton back in February. A useful general introduction to automation for business, Jon will present an overview of what’s possible and practical, the basics of automation technology, the risks and rewards, and even the real-world costs of automation projects. Jon will be on the “Focus” channel at around 16:25.

Ike Gluski, Business Development Exec
Ike Gluski, Business Development Exec

Our Business Development Exec, Ike Gluski, will be covering Microsoft Teams, looking at its growing range of features that have made it such a popular collaborative working platform. Ike’s session starts at about 15:10 on the “Focus” channel.

As a bonus, our gamification guru Pete Jenkins of JFDI’s partner company Gamification+ will also be presenting a session on how to lead a “Gameful Work from Home Culture”, starting at approximately 10:45 on the “Online” channel.

Silicon Brighton normally hosts regular, in-person conference events in the Brighton and Hove area which have become hugely popular, and had planned a very exciting, active programme of events for the spring and summer. However when the Covid-19 Pandemic put a temporary hold on physical events, Silicon Brighton was quick to pivot to online events. But where capacity isn’t a problem, why not go large? Hence 30 speakers over two channels!

You can get your tickets to the Silicon Brighton NHS Fundraiser event from EventBrite, where you can also make your voluntary donation. The day represents thousands of hours of work given for free by dozens of people, and promises to be full of great learning and insights. Please enjoy, learn and give generously. See you there!

JFDI has been hard at work during the Covid-19 pandemic, with most of our client work forging ahead in anticipation of the world’s inevitable eventual return to “business as usual”. But we’ve managed to squeeze in quite a lot of other activities too…

two Euro banknotes

We worked on a brand new client project to help them work with staff to nominate suitable Covid-19 related charities and projects to receive a donation from a brand new £25M Covid-19 charity fund. Staff report their own donations, collected individually or in teams, and the client will match every donation 5:1! Phase one of this technically innovative solution was created over a long weekend and is being developed further to support the various phases of the project.

Microsoft Teams – secure, reliable collaboration

Microsoft Teams has been our invaluable go-to meeting and collaboration space for the past couple of years. But during the Covid-19 crisis, with everyone forced to work from home, it’s really come into its own. It even became a virtual seminar space during our very popular recent free webinar aimed at helping all those people new to Teams and home-working. Over two hundred people joined us from 25 different countries!

3D printed face shields – barrier protection from Covid-19 aerosols

Two of our colleagues have been hard at work in their spare time using our 3D printing lab to produce 3D printed face shields for doctors, nurses and healthcare workers to help the effort spearheaded by 3DCrowd, the very well organised consortium of companies, makers and enthusiasts aimed at meeting the national shortage of PPE head-on.

Covid-19 supermarket queues
Self-isolating? 45-minute supermarket queues? No delivery slots? Local businesses to the rescue!

Since the supermarkets and their supply chains were caught short by the sudden demand for home deliveries and the restrictions of social distancing, many small local businesses have heroically stepped up to the challenge. Farms, farm shops, corner shops and local grocers have started offering local deliveries for households who are vulnerable and self-isolating, or anyone wanting to avoid the risks of going to big shops. Sometimes they’ve ended up working night and day, overstretching their very limited resources. As automation specialists, JFDI realised we could significantly help these companies. So we’ve also been offering free automation consultancy to any small local business suddenly finding itself providing essential community support. Simple automations can be quick and easy to implement and save huge amounts of time – “easy wins” that replace lengthy, tedious retyping or copy-and-paste operations; or just a simple order form they can direct all their new enquiries to, so the customers do most of the work and everything’s kept in one, nice orderly list.

Silicon Brighton logo & slogan
Silicon Brighton – a unique technology leadership & innovation forum

Later this month, on April 30th, we’ll also be taking part in Silicon Brighton’s online fundraising mega-event in aid of the NHS. Our R&D Director Jon Silver will be repeating his hugely popular Silicon Brighton session on Real-World AI & Automation for Business, exploring what’s possible & practical, the risks, dangers and benefits, and how AI & Machine Learning fit into automation. Ike Gluski (Business Development Lead) will be presenting his introduction to Microsoft Teams.

Please get in touch to find out more about any of these projects and activities. In the meantime, stay safe, stay home and protect our NHS.

Document generation is a key part of many business processes, and being able to automate it is essential. There are many solutions for doing this job, and JFDI has historically created its own tools for generating documents. But having met with Dox42 on a number of occasions and seeing the product’s feature set and capabilities in depth, JFDI became convinced that this was the right way of integrating document generation into any system. Dox42 is architecturally and technically superior to any other similar solution on the market.

Joel Jeffery, JFDI’s Director of Consulting, said:

dox42 is simply the best-of-breed document generation platform, able to integrate data from any source. JFDI is proud to be a dox42 partner, adding dox42’s impressive set of document generation capabilities to our clients’ automation armoury.
